You can communicate news and special announcements to your patients using the integrated messaging features of tuOtempO Memo.
Where to begin
Log in to the tuOtempO admin zone.
Choose which messaging option meets your needs:
- Send a message - Used for sending messages by email or SMS to lists of up to 50 people who are not yet in your tuOtempO database
- Campaign Messaging - Used for sending messages by email or SMS to lists of more than 50 people or to patients who are in your tuOtempO database
A. Send a message
Go to > Tuotempo > Messages > Send a message
The send a message interface.
1.SMS
a) Choose a sender
Typically your establishment or resource name. Because of internationally established SMS standards, it must be no more than 11 characters long with no special characters (accents).
b) Enter your recipients
Paste a list of up to 50 mobile telephone numbers. They can be separated:
- by a comma
- by a semicolon
- or by a line break
c) Compose and send your message
To use just one SMS sending credit, the message should be no longer than 160 characters.
Send your message when completed.
2. Email
a) Choose a sender
Typically your establishment or resource name, the Sender name will appear in the recipient's email box. The sender email address will be a no-reply address from the tuOtempO servers.
b) Enter your recipients
Paste a list of up to 50 email addresses. They can be separated:
- by a comma
- by a semicolon
- or by a line break
c) Compose and send your message
Enter a message subject line and compose your email in the text area below. Use the styling options provided.
Send your message when completed.
B. Campaign Messaging
Go to > Tuotempo > Messages > Campaign Messaging
The campaign messaging interface.
1.SMS
a) Choose a Campaign Name
By default the campaign name is the date and time of creation. You can change this to the name of your choice.
Warning: The date and time shown in the campaign name does not refer to the sending time. If you wish to defer sending, Save your campaign for sending at the time of your choice.
b) Choose a sender
Typically your establishment or resource name. Because of internationally established SMS standards, it must be no more than 11 characters long with no special characters (accents).
c) Enter your recipients
i. Insert or Copy
Paste a list of up to 50 mobile telephone numbers. They can be separated:
- by a comma
- by a semicolon
- or by a line break
Tip: Inserting recipients can take several minutes when using the Campaign Messaging feature. While waiting for your contacts to import you can navigate away from the Campaign Messaging interface. When the import is completed, you will receive an email alert. Your campaign will be ready for you in the Campaign Summary interface.
ii. Import from file
Import a list of mobile numbers in CSV format.
iii. Select from your contacts
Tick your chosen recipients from the pop-up list and click on Add to confirm your choice.
Tip: This option can also be used to send messages to staff members. Select Doctors or Operators within the pop-up window.
iv. Add all clients
Adds all the patients within the establishment.
d) Compose your message
To use just one SMS sending credit, the message should be no longer than 160 characters
e) Send your message
i. Immediate
Send your message when completed.
ii. Deferred
Select Save Campaign
When you want to send your campaign, access it via the Campaign Summary interface.
Go to > Tuotempo > Messages > Campaign Summary > Send Now
Send your message at the time of your choice from the campaign summary interface
The message that you composed earlier will appear. Send your message.
2. Email
a) Choose a Campaign Name

b) Choose a sender

d) Compose your message
Enter a message subject line and compose your email in the text area below. Use the styling options provided.
e) Send your message
i. Immediate
Send your message when completed.
ii. Deferred
Select Save Campaign
When you want to send your campaign, access it via the Campaign Summary interface.
Go to > Tuotempo > Messages > Campaign Summary > Send Now
The message that you composed earlier will appear. Send your message.
C. Advanced Features
The following Advanced Features are available for both Message Sending and Bulk Messaging.
1. Customize the message
Use special codes to introduce custom variables into your message. Select the code of your choice from the drop-down menu and paste into the text area editing box provided.
The customize dialogue is on the right of your screen.
Example : A message composed as Dear [trd3] will be sent as Dear John to a patient whose first name is John and Dear Jane to a patient whose first name is Jane.
2. Saved messages archive
Instead of composing a new message each time you wish to send a communication, you can save standard boilerplate texts for re-use on subsequent occasions.
a) Compose your template
Compose your message in the normal way. When it is finished click the Save Message button on the right of your screen. You will be invited to give a name to your template.
Save your message as a template
b) Use your template
The template you saved will now appear in the Saved message archive. Click on it and the text that you composed will appear in the message editing text area. Make any modifications you wish to the original template in the text area and Send your message or Save your campaign when finished.
D. Adding news or announcements to your automated messages
You can also add news or announcements to your automated messages such as appointment reminders or thank-you messages.
